Group GSA Pty Ltd are committed to protecting the privacy of personal information it collects about you. GSA’s policy is to only collect personal information which is reasonably necessary for its dealings with the relevant individuals. GroupGSA only uses personal information for the purpose specified, or which is reasonably apparent at the time the information was collected, or for a related purpose for which the individual would reasonably expect it to be used. GroupGSA takes reasonable steps to protect personal information that it holds from unauthorised access, modification, misuse, interference and loss.

GroupGSA conducts its business through its studios in Australia and Vietnam.

1. Introduction

GroupGSA recognises the importance of privacy and is committed to protecting individuals’ personal information.

GroupGSA is subject to the Australian Privacy principles contained in the Privacy Action 1988 (Cth).

2. Collection of Personal Information

Personal information is defined as information or an opinion that can identify or can reasonably identify an individual. This may include an individual’s name, address, email address and telephone numbers. The type of personal information that GroupGSA collects will depend upon what dealings the relevant individual may have with GroupGSA.

GroupGSA may collect and hold personal information about individuals, including information about our clients, individuals associated with or employed by our clients, job applicants, our business and professional contacts, and our suppliers.

The types of personal information we may collect about you includes:

  • Your name, title, personal and/or professional contact details such as email, mobile phone number and address;
  • Details of organisation that you work for, or represent, your position and areas of interest;
  • Bank or payment details;
  • Resumes and references;
  • For job applicants, your skills, qualifications, languages spoken, Australian residency or visa status, professional memberships or accreditations, interests, employment history, personal references, and past responsibilities;
  • Your IP address and browser type

3. How we Collect Personal Information

Whenever it is reasonable and practical to do so, GroupGSA collects personal information directly from the individual, when you visit our studios or website, follow us through our social media accounts, when you contact us by email, phone or post, and in the course of doing business. We may also collect personal information from third parties such as employers, where they nominate their contact or representative

4. Use and Disclosure of Personal Information

GroupGSA collects personal information to:

  • Provide our professional services;
  • Manage personal relationships with organisations and individuals;
  • Communicate with individuals

For legitimate interest in:

  • Assessing job applicants;
  • Tracking visits to or from our website and helping us to understand issues/needs;
  • Complying with our legal statutory and contractual obligations;
  • Direct marketing, programs, marketing promotions and managing subscriptions; and
  • Responding to enquiries and complaints.

GroupGSA may send marketing materials to clients or potential clients where GroupGSA has collected personal information from the individual and the individual would reasonably expect GroupGSA to use the information for that purpose.

Where required, with consent, we will through a preferred communication channel (email or telephone):

  • Contact you with information about our knowledge leadership insights;
  • Market and promote our services to you.

If the individual no longer wishes GroupGSA to use their personal information to provide direct marketing materials, they may ‘opt out’, or ‘unsubscribe’ link.

GroupGSA may disclose personal information:

  • To the individual’s employer or organisation they represent;
  • Share the information between our offices in Australia and Vietnam;
  • To our sub-contractors and service providers.

GroupGSA does not sell personal information to entities outside of GSA. Any third parties to whom we disclose or permit access to individuals personal information in the course of providing services on our behalf, will be subject to strict contractual restrictions to ensure that the information is protected and kept confidential, consistent with relevant privacy and data protection laws.

These external parties may be given access to personal information held by GSA in certain circumstances. These include but are not limited to:

  • GroupGSA consultants, advisers and service providers who assist GroupGSA in the operation of its business;
  • 3rd party lenders and insurers;
  • Government agencies as agreed to or required by law;
  • Anyone authorised by a provider of personal information;
  • Relevant parties in situations where GroupGSA is required by law to provide the information.

GroupGSA limits the information disclosed to external parties to what is required for them to perform their services for GroupGSA, or the relevant individual, or what is required by law.

In the event that GroupGSA undergoes re-organisation or is sold, any personal information we hold may be transferred to the new entity.

5. Applying for Employment with GroupGSA

GroupGSA collects information from individuals who submit applications or register interest for employment. If the application is unsuccessful, GroupGSA may retain the information for up to 6 months in case another opportunity becomes available. The unsuccessful applicant may contact GroupGSA to request GSA not to retain the applicant’s information.

6. Security of Personal Information

GroupGSA will take reasonable steps to protect personal information that it holds from unauthorised access, modifications, misuse, interference and loss.  GroupGSA maintains security measures over its physical premises, and a range of computer and network security measures (such as system access, firewalls, data encryption), over its electronic systems.  GroupGSA employees are required to maintain the confidentiality of any personal information held.

If other parties provide support services, GroupGSA generally requires them to agree to appropriately protect the privacy of the information provided to them.

7. Access to Personal Information

Any individual can request access to personal information GroupGSA may hold about them. To obtain access to the information, the individual needs to write to the privacy officer (refer to contact details below).  Depending whether personal information requested requires preparation time, we may provide an estimate of how much this service will cost and request agreement before proceeding.

In normal circumstances, GroupGSA will provide the individual with access to the individual’s personal information.  However, in some circumstances there may be legal, regulatory or administrative reasons to deny the requested access.  If access is denied, GroupGSA will provide the individual with the reasons for doing so.

8. Changing Personal Information

If an individual wishes to change personal information that they believe may be inaccurate, out of date, incomplete, irrelevant or misleading, the individual may write to GroupGSA’s privacy officer requesting information to be changed.

9. Cookies

A Cookie is a small data file that may be placed on the computer of a web user (usually in the browser software folder) during visits to GroupGSA’s website.  Cookies are necessary to allow the website and the users’ computer to interact effectively and enhance security.  Cookies can record information about the users visit.  Cookies record information about the users visit to assist GroupGSA in better understanding the needs of the user.  We may also track user behaviours on our website, generally this data is non-personally identifiable and is collected on an aggregate level to report statistics to assist GroupGSA to improve the quality and relevancy of its services.

If users of GroupGSA’s website do not wish to receive any Cookies, they should set their browser to refuse Cookies.

GroupGSA’s website may also use, among other technologies, Google suite of analytics programs to track website traffic

10. Changes in the Future

GroupGSA reserves the right to change this policy at any time.  GroupGSA will notify any changes to this policy by posting an updated version of the policy on the GSA website http://www.groupgsa.com

11. Complaints

An individual can make a complaint about the way GroupGSA has handled an individual’s personal information by writing to the GSA Privacy Officer.  GroupGSA will endeavour to act within 30 days in response to the complaint.

If you are not satisfied with GroupGSA’s response, you may be able to refer your complaint to your local data protection regulator or privacy commissioner.
